Meeting Notes: Import, Review and Find Content Ideas

Meeting notes in ContentOS bring supported transcripts into a private review workflow. Import available notes, inspect the transcript, review extracted participants, topics and promises, and separately choose whether reviewed material may be mined for content opportunities.

Which meeting sources can you connect?

A meeting-note connection in ContentOS is a configured link to a supported transcript source. Supported sources include Gong, Fathom, Fireflies and Google Meet. Import availability depends on deployment configuration, a valid connection and a transcript the provider can supply. Zoom source import is currently unavailable in this workflow. Its card points to importing a recording instead, so a Zoom listing should not be read as a promise that direct transcript sync is active.

Connecting a provider and importing transcripts are separate actions. Choose Sync notes to check recent meetings; new meetings are imported when you sync. The standard import screen checks up to ten recent meetings from the last fourteen days. If a provider has not finished its transcript, the result can explain that nothing is ready yet. Sync again after processing rather than assuming every completed meeting already has usable notes.

The import dialog asks you to confirm permission to import and process the meetings, including any required participant consent. It also asks whether you participated in every meeting and how long to keep the imported material. Retention choices include thirty days, ninety days, one year and until deletion. The permission applies to that import, so read it in relation to the recordings you are bringing in.

The person who connected the source must import its meetings; membership of the same workspace does not by itself grant access to another person's recordings. Disconnecting a provider stops access but leaves already imported meetings in place. Deletion is a separate action, and a deleted meeting is not imported again by the sync workflow. Choose the control that matches the outcome you actually need.

How do you review the transcript and extracted memory?

Open a meeting to inspect the transcript, source details and processing state. When a transcript is available, you can request extraction into a reviewable draft. The review presents participants, topics and promises with supporting evidence. You can keep a speaker unknown, retain a speaker label or manually link an available contact candidate. Do not confirm an identity simply because a name looks familiar.

Accept or drop proposed topics and promises, edit the descriptions and review who owes a commitment to whom. Due dates are editable when a promise needs correction. A partial extraction is labeled, so the proposed list may not cover the entire meeting. Check the transcript rather than treating a missing topic as proof it was never discussed. Confirm only the details the source supports, and use the correction workflow when the underlying material needs attention.

When can a meeting become content material?

Content opportunity consent is separate from importing and confirming meeting memory. The meeting control asks whether reviewed current topics and exact quotes may be mined for content opportunities. When an eligible run is available, you can open its opportunity review. That sequence gives you a chance to decide which experience is useful before turning it into a draft, while preserving the need to review the actual evidence.

For an illustrative use, a permitted research call might reveal that teams misunderstand a setup instruction. A public post could explain the general lesson using your own wording after review. It should not casually identify the customer, publish a private quote or imply that a promise was fulfilled when it was merely discussed. This workflow suits creators who learn through conversations and want a deliberate source review before using that material in public writing.

Which plans include meeting notes?

Availability by plan:

  • ContentOS: 10,000 AI generations a month per account, pooled across the subscription.
  • Provider configuration, account authorization, transcript availability and consent remain required. The writing allowance does not guarantee a provider connection or a complete transcript.

Frequently asked questions

Will ContentOS automatically join or record my calls?

This meeting notes workflow imports available transcripts from supported configured providers when you choose Sync notes. It does not promise a bot that joins every call or records it automatically. You need an available source transcript and the required permission to process it. Recording imports are a separate route when a direct provider import is unavailable.

Does confirming meeting memory approve it for publication?

No. Confirming memory records your reviewed participants, topics and promises. Content opportunity mining has its own consent control, and any resulting draft still needs an accuracy and disclosure review. Permission to process a conversation is not a blanket decision to identify participants or publish their words. Check the source and the intended use before sharing.
